4. Agenda Items/Discussion:

  • 4.A. KHUOK Affiliate Faculty Approval (Scott)
    • 1 faculty for approval L. Brooks. For a Dissertation committee- has experience in educational administration and teaching Lakota language which relates to the content of the dissertation. Does KHUOK have an internal process defining what a related degree is for committees? They do not but have a minimum requirement of a Doctoral degree and fluency in the language of study.

  • 4.B. Course Registration Reminders (Shelby and Keani)
    • Summer 2024 registration is now open for all (new and continuing) graduate students. Fall 2024 registration is now open for all continuing graduate students, new graduate students can register after April 9th. Please encourage your students to register early, especially if they are taking thesis/dissertation 700/800 courses or directed studies 699/799. In Spring 2024, we had 71 late registration forms submitted after the first day of classes, we need to improve on this number as it has implications for participation verification and possibly for student's aid. Reminder that for thesis/dissertation courses, the Form 2 must be approved prior. Please encourage your students to not wait until the start of the fall semester to do their Form 2 and thesis/dissertation course forms.
  • 4.C. Follow up Discussion- Suggestions for Grad Division Policies from Dean Kattenhorn (All)
    • Committee Formation re: Affiliate Faculty vs External Expert
      • Primary advisors may not always be the committee chair. Added in text to say “primary advisor or committee chair”. Added in “master or doctoral degree” for masterʻs committees. #1 PhD Membership- 3rd member could be outside as well, or not. #2 Minimum is 2 members within college, tenured or tenure track, 1 outside person.
      • Next Steps: More Wordsmithing, Scott is happy to help us on this
    • Policy for UG Students to Register into 600 level Courses
      • Tobias/Charmaine met, understanding that Dean Kattenhornʻs model of more of an “Admin approval” for students was accepted by the GC to promote student success. Would be different if we had students in 4+1 programs. UH Manoaʻs and our policy for students not in 4+1 programs is relatively similar, credits must still be excess of Bachelors, and a petition form must be submitted which requires multiple approvals. For students in 4+1s, they can register for up to 9 GR level credits for the program and pay UG tuition rate with approval. Registrars office does not create policy, but they are tasked with enforcing it. Policy originates from Faculty Congress APC?

    • Graduate Assistants- Extramurally Funded
      • No movement this month.
      • Next Steps: Bruce, Simon and JP to discuss further with VCAA
  • 4.D. Spring 2024 Commencement (Shelby)
    • Reminders on the deadline to Schedule Thesis Defense and to Apply for graduation: March 15, 2024 and the deadline to Defend Thesis/Dissertations: April 15, 2024. Still doing multiple hooders- Shelby will be in touch with chairs to get the names of the hooders.
    • Saturday May 11, 2024, 9:00 AM Edith Kanaka'ole Multipurpose Stadium
    • Multiple hooders still in place, we will be in touch with you depending on how many graduates your program has walking.
      • 4 or Less Graduates Participating: 1 Faculty Hooder
      • 5-20 Graduates Participating: 2 Faculty Hooders
      • 21+ Graduates Participating: 3 Faculty Hooders
  • 4.F. Assessment Reminders
    • WSCUC visit scheduled for April 2024
    • Core Competency Assessment
      • Information Literacy for 23-24 is due August 31, 2024.
    • Programmatic Assessment
      • Due by the start of the summer.
  • 4.G. Graduate Division Updates
